Income and Expense
Everything that does not pass through a patient: rent, salaries, supplies, equipment, the electricity bill, a cash injection from the owner. Each entry posts to the books, so the Profit & Loss and Cash Flow reports show the whole picture rather than just consultation income.
Find it under Income & Expense.
Where to Find It
Click an address to open that screen on your own clinic. The first click asks which clinic you are, then remembers it. Addresses holding a {id} or {token} need a specific record, so they are shown but not linked.
| Screen | Address |
|---|---|
| All transactions | /manual-transactions |
| Add Income/Expense | /manual-transactions/create |
| Transaction details | /manual-transactions/{id} |
| Edit transaction | /manual-transactions/{id}/edit |
Recording a Transaction
Income & Expense → Add Income/Expense.
| Field | Notes |
|---|---|
| Date * | Defaults to today |
| Type * | Income or Expense |
| Account * | Which account it belongs to — this is the category. The hint under it changes with the type: money is added to the account for income, taken from it for expense |
| Payment Method * | From your clinic's Payment Methods list. This decides which cash account moves |
| Amount * | Must be greater than zero |
| Status | Posted (default) writes it to the books. Draft keeps the record without any accounting entry |
| Description | Optional note, up to 1000 characters |
Each transaction gets an automatic MT-… code.
TIP
There is no separate category list — the Account does that job. So Clinic Rent Expense, Staff Salaries Expense, Medical Supplies Expense and the rest of the chart of accounts are your expense categories. Pick the closest one rather than inventing descriptions.
Posted or Draft?
| Status | In the books | Shows in reports |
|---|---|---|
| Posted | A journal entry is created | Yes |
| Draft | No journal entry; switching an existing one to Draft removes its entry | No |
Use Draft for something you expect but have not paid — then switch it to Posted on the day the money moves.
The List
Tabs for All, Income, Expense and Draft.
Search matches the code, the description or the account. Filter by type, by status (Posted, Draft, Cancelled) and by date range. Columns: code, date, type, account, amount with its payment method beside it, and status.
Cancel, Restore, or Delete Permanently
Three different things, and the difference matters:
| Action | The money | The record |
|---|---|---|
| Cancel — the ordinary delete button | The journal entry is reversed out of the books but kept, marked cancelled | Stays visible with status Cancelled |
| Restore | The entry is reopened and the transaction goes back to Posted | Returns to normal |
| Delete permanently | Every linked journal entry is erased | The record is gone, with no trace |
WARNING
Cancel is the right choice almost always. It corrects the books while leaving an audit trail of what happened. Delete permanently leaves no evidence that the transaction ever existed — keep it for genuine mistakes such as a duplicate entry, and give the permission for it to very few people.
Restore only works on a cancelled transaction. A cancelled transaction cannot be edited — restore it first, then change it.
Where It Shows Up
| Report | What it takes from here |
|---|---|
| Profit & Loss | Every posted income and expense, grouped by account |
| Cash Flow | The movement in and out of your cash, bank and wallet accounts |
| Journal Entries | The entry itself, with a link back to this transaction |
The accounting is automatic: an income entry debits the cash account for the payment method and credits the account you chose; an expense does the reverse.
