Patient Statement ​

A statement is the patient's account over a period, set out like a ledger:

  • the balance they owed when the period began;
  • every charge, payment and discount in the period, each with the balance after it;
  • what they owe at the end.

Use it when a patient on a long course, or the employer paying for them, asks "what did I pay and what is left?". Print it, or send it to the patient's phone.

Choosing the Period ​

The chips across the top pick the period:

Beside them, choose whether the statement is in Arabic or English. This sets the language of the printed sheet and the WhatsApp message. Your screen's language doesn't change.

Reading It ​

The figures across the top give the period, the Opening balance, total Debit, total Credit and the Closing balance.

Then come the lines, in date order:

Balance after each line is what the patient owes at that point.

  • The opening balance is everything that happened before the period starts. A statement for September begins with what was still owed on 31 August.
  • On the same day, charges come before payments. A visit paid the day it happened never shows the balance dipping below zero between its two lines.
  • One amount spread over several records shows as one payment line naming all of them, because it was one payment at the desk.
  • A cancelled visit is not charged. A payment taken on it before it was cancelled is still listed, because the clinic still holds that money.
  • A negative closing balance means the clinic holds money for the patient. The statement shows it as Credit balance in the patient's favour.
  • No movement in the period? The statement says so, and the opening and closing balances are equal.

Over All, the closing balance is exactly the Total owed on the patient dues page and the balance on the patient's file.


Printing ​

Print opens the statement through your clinic's print template, with your letterhead. Open Preview at the bottom of the page to see the sheet before printing.

The sheet is a print template of type Statement, so you can change its wording, logo and layout like any other sheet. On a long statement the column headings repeat on every page, and every line carries its own balance, so each page picks up where the last one ended.

In the desktop app, Print goes to the computer's printer, and the print dialog can save the statement as a PDF.

Sending on WhatsApp ​

Send on WhatsApp opens a WhatsApp message to the patient's phone. It gives the period, the closing balance and a link to the statement as a PDF. Press send in WhatsApp yourself.

  • The link works for 7 days. Anyone holding the message can open it without signing in, so send it only to the patient's own number. After 7 days the link stops working and the file is deleted.
  • The button is greyed out when the patient has no phone number. Hover over it to see why.
  • Each message you open is written to the patient's activity log, with the period and the closing balance.

A statement is built fresh each time you open it, from the records as they are now. Nothing is stored, so there is no statement number. Re-open the same period to print it again.

Without Internet ​

The statement needs a connection.
