Clinics and Working Hours ​

A clinic here is a room — the place a single appointment happens: a consulting room, a chair. Its working hours are what the booking screens turn into bookable slots.

Every room sits inside a branch, which is the location itself: the building, its address, its phones. See Branches for that side of it. Working from one place? Your clinic already has a branch and nothing here asks you about it.

WARNING

Do this before anything else. With no clinic and no working hours, the booking screen has nothing to offer and no appointment can be created.

Find it under Setting → Clinic Timing Setting. The menu entry appears for roles that can edit settings.

Who can do this. Adding a clinic and setting its working hours are one job, so they take one answer: any role that can edit settings or create appointments may do both. That is on purpose — whoever books visits is sent to add a clinic when the branch has none, and would otherwise be left with a clinic they cannot give a single working hour to. Deleting a clinic is narrower: it needs edit settings, because the clinic goes with its history.

Where to Find It ​

Click an address to open that screen on your own clinic. The first click asks which clinic you are, then remembers it. Addresses holding a {id} or {token} need a specific record, so they are shown but not linked.

Step 1 — Create the Clinic ​

All Clinics → New Clinic.

Submit takes you straight to the working-hours screen, which is where a clinic becomes usable.

TIP

Appointment length is the one field people forget. It decides how the day is sliced: a window of 09:00–13:00 gives twelve slots at 20 minutes, but only eight at 30.


Step 2 — Set the Working Hours ​

Manage Time on the clinic (or the page you land on after saving).

Add one row at a time — pick the day, a start time and an end time, then Add. Saved rows appear below as 9:00 AM → 5:00 PM, each with an edit pencil and a delete bin.

Two rules the screen enforces:

WARNING

One window per day — split shifts are not supported. You cannot enter 09:00–13:00 and 17:00–21:00 for the same Monday. Enter the full span you work, or use a second clinic for the evening session.

There is no slot length on this screen. The window is the opening hours; the Appointment length on the clinic form is what divides it.


Step 3 — Check It From the Booking Side ​

Open Appointment → New Appointment and pick the clinic. The week grid should now show open slots on the days you defined, and Closed on the days you did not.

If you get a blocking No Clinic Found dialog instead — You need to add a clinic location before making appointments — no clinic exists yet; its Add Clinic button brings you back to Step 1.

If the clinic is there but every day of the week reads Closed, it has no working hours at all. The grid says so — This room has no working hours yet, so it has nothing to book — and its Add time button takes you to Step 2 and drops you back on the booking once the hours are saved.


Editing and Deleting ​

The All Clinics list shows each clinic with its contact details, address and a Monday: 09:00 - 17:00 line per working day. Search matches name, address, phone and email. Row actions: View, Edit, Manage Time, Delete.

A clinic can only be deleted while no appointment refers to it. Otherwise you get This clinic is being used by appointments and cannot be deleted — edit or rename it instead. Deleting a clinic removes its working hours with it.


The Clinic Report ​

Reports → Clinic Report. Pick a clinic and a date range, then Submit.

  • All Place — a bar chart comparing total appointments per clinic.
  • A single clinic — appointments per day as a chart, then one table per day listing patient, appointment, who booked it and its status.

The date range filters by when the appointment was booked, not the appointment date.
