Beauty centres ​

A beauty centre sells packages and works through them visit by visit. A client buys six sessions of skin cleansing, comes back every fortnight, and each visit has a service, a specialist, sometimes a cream she takes home, a payment, and a note about when to see her next.

The Beauty centres plugin gives you that, and nothing you do not need. What it does not give you is a second system: a package is the platform's own course of treatment with a package price, a visit is the platform's own session, and what was used or sold is a priced line on that visit. So a beauty visit prices, is paid for, and enters your reports exactly like every other record in the clinic — and the day you add a doctor, the medical side is already there.

Where to Find It ​

Settings → Patient settings → Beauty centre switches the module on. The sidebar then grows a Beauty centres section:

Each client also gains a Client file tab on her own record.

Switching it off deletes nothing

Turning the module off hides the section. Every package and every visit stays exactly where it is, still counted in your reports, and switching the module back on brings all of it back.

The wording ​

The module reads in the centre's own words. A person is a client, a course is a package, and the person who did the work is the specialist.

That wording belongs to this module alone. A clinic running beauty and physiotherapy reads client on the beauty screens and patient on the physiotherapy ones, on the same day, in the same system — the words follow the record, not the clinic.

The package ​

A package is what you sold: a name, a package price, how many sessions are planned, and when it started.

As visits are recorded against it, the package reads:

The last two are printed side by side and never reconciled for you. They are two different facts — what you agreed and what you charged — and a difference between them is for a person to look at, not for the system to quietly resolve.

A package with no number of sessions in it reads not set, never zero: an open-ended package is not a used-up one.

A package that runs past its planned count is allowed and is marked as over-run. The package price does not change on its own; if the client is paying for the extra sessions, that is a charge on the visits.

A package holds sessions, never products

A cream is never sold in advance as part of a package. It is sold on the day it is handed over, on its own charged line, on that day's visit — which is also the day it leaves your stock. That is why a package's material cost is not knowable when you sell it: it builds up session by session, and the client's file shows it as spent so far.

A visit ​

Recording a visit asks:

  • The date, and the package it belongs to — or no package at all, which is a perfectly ordinary walk-in facial and is charged and paid like any other visit.
  • The service, from your own catalogue, with its price and any discount.
  • Who performed it — the specialist, or several of them where the visit was split between colleagues. Each line of work can name its own person where the facial and the manicure were done by two.
  • Products used and products sold.
  • What the client paid today. Anything left is outstanding on the visit.
  • After-care instructions — what she is to do at home.
  • When she is next expected. This is a note, not a booking: nobody's diary changes until the desk books her.
  • A follow-up date, if somebody should ring her.

Used and sold are not the same thing ​

A product the client buys is charged to her. A product you use on her is not — it is your cost, not her bill.

Cost figures are shown only to roles allowed to see costs.

Not yet: stock movement

Until the stock-movements module ships, a used product is a costed note rather than something that moves your stock. The distinction between used and sold on the visit's lines arrives with it.

The client's file ​

Patient record → Client file answers, on one page, everything you are asked at the desk:

  • Her first and last visit
  • How she heard of you
  • Every package, with what is left on it
  • Every visit: the date, the service, the specialist, the price, what is still owed, and how the follow-up went
  • What she has spent and what she still owes
  • What she has booked

How she heard of you ​

Every patient record — in every clinic, not only a beauty centre — now carries How they heard of us, chosen from a list you own: Instagram, a referral from a client, an advertisement, passing by. Edit the list to match what you actually run.

It is a list rather than a free-text box on purpose: Reports → Patients groups new patients by it, and free text does not group. Patients registered before you started asking read not recorded, which is the honest answer and not a gap to fill in retrospectively.

Follow-ups ​

At the end of a visit you can promise a call: ring her on the 8th.

Beauty centres → Follow-ups is that list, and it shows everybody due on or before the day you are looking at — a call promised for Tuesday and not made is still owed on Wednesday, and stays on the list until somebody deals with it.

Record the outcome from the list itself, with the name still in front of you: all well, booked again, raised a concern, no answer, or asked not to be called. Recording it clears her from the list and keeps the whole exchange on her file.

A client with no phone number still appears, marked as such. Hiding her would mean quietly giving up on the people you have the least contact with.

It does not ring anybody

The follow-up list surfaces the work; a person does it. Nothing is sent automatically.

The dashboard ​

Beauty centres → Beauty centre dashboard reads one day:

  • Today's visits
  • Clients seen today
  • Taken today — money that reached the drawer, not money that was charged
  • Packages in progress
  • Follow-ups due

Every figure is a link to the list it was counted from, so a number and the list behind it can never disagree.

Under the figures: the day's visits, and the packages still running with what is left on each.

What it does not add ​

No table of its own beyond the list of service categories you edit. Your packages are treatment episodes, your visits are treatment sessions, your services and products are your catalogue, and your money is the same money as the rest of the clinic. That is what lets the beauty side appear in the same revenue reports as everything else, and what makes it safe to switch the module on and off.
