Dermatology and laser

A laser clinic used to keep a paper sheet in each patient's folder: the date, the procedure, the laser type, the joules, the frequency, the pulse width, the area, the number of pulses, the price and the session number. The Dermatology module puts that sheet on the session itself. It is not a second system. A course is the platform's own course of treatment, a session is the platform's own session, and every row of the sheet is a priced service line of that session with the laser settings attached.

Beauty centres get the same laser sheet, in their own words (client, package).

Where to find it

Settings → Plugins → Dermatology clinic switches the module on. A clinic that chose dermatology when it registered has it on already. The sidebar then gains a Dermatology section:

  • Courses: every course, running or finished
  • Sessions: every session

Every patient also gains a Dermatology tab in their record.

Switching the module on also fills the lists the sheet picks from: 11 areas of the body and 8 laser technologies. Rename or archive any of them; they are never put back. Your machines are not added for you, because they are your own.

Switching off deletes nothing

Switching the module off hides the section and the tab. Every course, session and laser setting stays where it is, and switching back on brings them all back.

Marking a service as laser

Open the service under Products and services, switch on Laser service, and pick the default area its line starts on, for example the underarm for "Hair removal — underarm". Only services can be laser services; a product such as cooling gel never is.

Recording a session

The session page is the one every specialty uses: the same header, the same course card ("4 / 6") and the same visit card, where the date, the appointment, the course, the attendance and the assignees are changed.

Add the laser service to What was done. Its line shows a Laser settings block:

Sheet columnWhere it is
Datethe session date
Procedurethe service's name
Laser typethe device you pick
Joules, frequency, pulse widththe block, in J/cm², Hz and ms
Areathe block; starts on the service's default area
No. of pulsesthe block, a whole number
Pricethe line's own price × quantity − discount
Session no.worked out from the course

Two areas in one visit are two lines. Every figure may be left empty, because some machines do not show all four, but none may be negative.

The laser block adds no money. The price, quantity and discount stay the line's own.

Last time's settings

Pick an area this patient was treated on before and the block fills the device, joules, frequency and pulse width from their last attended session on that area. The copied values are tinted, with "From the session of …" next to the title. Type over any of them and it becomes today's value. Pulses and price are never copied.

An area with no earlier session reads First session on this area.

The one-sheet session layout shows the laser rows as a full-width sheet — see Two layouts.

Before the first pulse

When a laser plugin is on, the session page has a Before the first pulse card under the visit card, with three rows:

  • Skin type (Fitzpatrick I–VI). Pick it with Update. A new type is a new entry, and the earlier ones are kept, so a tan between sessions does not rewrite history.
  • Consent. Sign now opens the consent text in Arabic or English. The patient, or a guardian whose relation you write down, signs with a finger or the mouse. The separate I agree to be photographed tick is part of the consent; without it, no before/after photos are taken of that patient. One consent covers a whole course. A standalone session needs its own.
  • Contraindications. Ask again opens the clinic's checklist (pregnancy, isotretinoin in the last 6 months, a recent tan…) with yes / no for each.

All three are saved with the session, so there is no second save to forget.

What stops a laser line

SituationWhat happens
The checklist was never answered for this course, or was answered longer ago than the clinic's re-check period (90 days unless changed)The session is not saved until it is answered again
A blocking item is answered yesSaving needs an override: a written reason, by someone in the role the owner chose. It is stored under their name and shown on the session
No signed consentBy default the session saves with a warning: no reason is required, and the missing consent is recorded on the session. A reason can be typed, and is kept with it. A clinic that chooses to block cannot save without the signature

Only a save that adds a laser line is checked. Opening an old session to correct a note does not ask again.

A signed consent never changes. Editing the consent text later creates a new version, and every consent already signed keeps — and prints — the words that were signed, with its version, date, signer and signature.

The course page's Before the first pulse tab and the patient's Skin and consent segment read all of this back. The dermatology dashboard lists today's sessions that still need a consent.

Before / after photos

The session page has a Before / after photos card with one row per laser area of the session. Before and After open the camera on a phone or tablet and a file picker on a computer. A photo is uploaded at once and reduced to a viewing size, so a large phone photo never fails for its size. Photos taken before the session is saved are filed onto the line of their area when you save.

The buttons stay disabled, with the reason shown, until the patient has ticked I agree to be photographed on a signed consent — on file, or on the consent being signed in the same session.

Every photo carries its area, its session number and its date. The patient's Photos segment, the course's Photos tab and the beauty Client file list them by area. Compare shows two sessions of the same area side by side or under a slider you drag.

Photos are private to the clinic. They are never on a public page, and only roles allowed to see medical records can open them. A photo can be deleted by the owner or by whoever took it.

Devices and the pulse counter

Dermatology → Devices (also under beauty centres) is the register of your laser machines. Add a device with its name, technology, serial number and branch, and its first handpiece: the handpiece's rated life in pulses and what its counter already reads.

  • The device in a session. The laser block offers only the working devices of the branch you are in. With a single device, it is already picked. Where a device has more than one handpiece, you pick which one fired.
  • Every pulse counts. Each laser line's pulses are added to its handpiece. Edit the pulses and the total moves by the difference. Delete the line and they come back off. Totals are worked out from the lines, never typed.
  • Life warning. A handpiece past 90% of its rated life (the clinic can change the percentage) is marked on the device and warned about on the dermatology dashboard.
  • Replacing a handpiece retires the old one; no new line can count against it. The new one starts its own count.
  • Counter reading. Type what the machine's own screen shows. From the second reading on, the device page shows how far the counter advanced, how many pulses the sessions recorded in the same period, and the gap: unrecorded pulses and their share. The gap belongs to the device and the period, never to a technician.

The Devices page is also the device report. For the period you pick, each device shows its sessions, pulses, revenue and revenue per 1,000 pulses. Open a device to see the laser lines behind its figures.

Dermatology settings

Settings → Dermatology (called Laser settings in a beauty centre) is a board of tiles. Each tile says where its subject stands today and opens a page holding only that subject. All settings goes back to the board.

TileWhat it decides
Laser sheetWhich optional columns show (spot size, frequency, pulse width, notes; fluence, area, pulses and price always show), whether last time's settings are copied and which fields, and which fields are required
SafetyThe fluence-jump warning (a line set more than N% above the last value for the same area is flagged, and saves only once confirmed), how often contraindications are asked again, whether a missing consent warns or blocks, who may override, and whether a «before» photo is required on a course's first session
Procedure presetsPer laser service: its area, planned sessions, weeks between sessions, usual device and price per session, with the course price it suggests. Laser services that have no preset are listed under the table, and one tap starts a preset for that service
ListsAreas, laser types, the contraindication checklist (and which items block), and the consent text. Saving the consent creates a new version; signed consents keep theirs. An area already used on a saved line can be archived but not deleted
Devices and counterThe handpiece life warning and how often the device counter should be read
DashboardAfter how many days a booked course date counts as overdue, and a course as lapsed
Print templatesOpens the print templates screen for the two laser documents

Every change is recorded with who made it and the old and new values.

What you start with

Switching on dermatology or beauty fills the areas, the laser types, the checklist, a consent text, and laser services, each with a preset:

  • Dermatology: hair removal for the underarm and face as an example, pigmentation, and the skin doctor's list — acne scars (fractional), scars and skin deformities, stretch marks, resurfacing, melasma, active acne, broken capillaries, rosacea, birthmarks, tattoo removal, warts, skin tags and vitiligo (excimer).
  • Beauty: the same example rows plus hair removal for every area of the body (upper lip, chin, neck, arms, back, abdomen, bikini, legs, full body), carbon peel and skin lightening.

The services come with no price. They cannot be added to a session until you price them, from the service or from the preset's price field; the board says so until each has one. Rename, price or delete any of them; switching the plugin off and on again never adds one twice. Devices are never added for you.

Rename, reprice or archive anything you like. Switching the plugin off and on again, or switching on the other laser plugin, never adds a second copy and never undoes your changes.

Opening a course from a service

On a laser course's form, Open from a laser service lists the presets. Picking one fills the course name, the planned sessions and a package price at the service's price per session. Its area, interval and device are shown beside it, and every value stays editable.

Adding a new procedure

A procedure is a service in your products catalogue, marked as a laser service. On Procedure templates, Add a laser service opens the new product form already set to a service with Laser service ticked. Give it a name, a price and its usual area, then save. It joins the templates list straight away, where you can give it its sessions, interval and device.

Printing

  • Session sheet prints from the session's Print button. It shows the patient, the course and session number, the laser rows with their settings, the products sold, the total, paid and remaining, the next date and who performed it. The shipped templates are Laser session sheet and Session receipt (totals only).
  • Laser record prints from the patient's laser record. It is shipped as Laser record — Classic (with prices) and Laser record — Patient copy (without them).

Lines marked as used during the session never print on either. To make your own template, copy one of these in Print templates and make the copy the default.

The session number

The number is worked out, never typed: a session's place among the course's attended sessions. A no-show takes no number, so the next attended session is still "2", not "3". A session with no course has no number.

The patient's Dermatology tab

It follows the shape of the physiotherapy tab:

  • figures at the top: sessions, sessions remaining, last session, still owed;
  • three segments: Courses, Sessions and Laser record;
  • one add button, which follows the open segment.

The Laser record is the paper sheet: every laser line from every course and every standalone session, newest first, in the sheet's column order, grouped by course, and filterable by area. Click a row to open its session.

In a beauty centre the same laser record appears in the client's Client file tab.

The course price

A course has an agreed price, but nothing is billed from it. Each session is charged by its own lines at the service's price, so the profit on every line stays readable. The course shows the agreed price beside what its sessions came to, so you can see both.

Turning a session into an invoice

Each laser line becomes one invoice line, named by its service and its area, for example "Hair removal — underarm", with the line's quantity, price and discount. The laser settings are clinical and never print on the invoice. A line marked as used during the session (consumed) is the clinic's cost and never reaches the invoice. The invoice names the session by its specialty ("Dermatology session …").

Desktop app and working offline

The desktop app behaves as the browser does. A session recorded offline keeps its laser settings and is saved with them when the connection returns.
